Goblin's Den Discord Bot Privacy Policy

This Privacy Policy explains how Goblin's Den Discord Bot ("Goblin's Den", "the Bot", "we", "us", or "our") collects, uses, stores, and protects information when you invite, configure, or use the Bot.
If you do not agree with this Privacy Policy, do not use the Bot and remove it from your Discord server.
1. Summary
Goblin's Den collects only the information needed to run Discord mini-games, manage game channels, process commands, provide diagnostics, and keep limited server settings.
We do not sell personal data. We do not use personal data for targeted advertising. We do not ask users for passwords, payment details, addresses, government IDs, or other sensitive personal information.
2. Information We Collect
Goblin's Den may process the following information from Discord:
User Information
- Discord user IDs.
- Discord usernames, global names, server display names, and mentions.
- Game participation details, such as lobby membership, turn order, cards played, calls, status-card choices, eliminations, and final standings.
- Direct message delivery status when a user requests the game guide.
Server and Channel Information
- Discord server IDs.
- Server names, owner IDs, and member counts for bot-owner server-list diagnostics.
- Channel IDs, category IDs, channel names, and role IDs needed for setup and lobby access.
- Selected setup role IDs used to configure Goblin's Den access.
Command and Interaction Information
- Slash command names and options.
- Button and select-menu interactions.
- Mention commands sent directly to the Bot, such as help, close, stats, or owner server-list commands.
- Message IDs when needed to update game panels.
Technical Information
- Bot runtime status, Discord gateway status, latency, cached server/member/channel counts, memory usage, process uptime, and error logs.
- Discord API error information when commands or permission changes fail.
3. Message Content
Goblin's Den uses the Discord Message Content intent only to detect mention commands that start by mentioning the Bot, such as @Bot help, @Bot close, @Bot servers, or @Bot stats.
The Bot does not monitor general server conversation for gameplay or analytics. Mention-command content is processed to perform the requested action and is not intentionally stored in the Bot's persistent data files.
Messages, embeds, and interactions may still remain visible or retained by Discord according to Discord's own systems and the server's moderation or retention settings.
4. How We Use Information
Goblin's Den uses collected information to:
- Run Goblin's Den games and other bot features.
- Create, configure, and delete game lobby channels.
- Grant and revoke lobby channel access for players.
- Display game status, history, hands, prompts, and final standings.
- Enforce game rules, cooldowns, turn timers, and anti-spam limits.
- Send requested game-guide direct messages.
- Provide bot-owner diagnostics and operational stats.
- Debug errors, investigate abuse, and maintain bot reliability.
- Comply with Discord platform requirements and applicable legal obligations.
5. Information Stored Persistently
Goblin's Den currently stores limited server configuration in data/guild-settings.json, including:
- Server IDs.
- The configured Goblin's Den main-hall or lobby-creation channel ID.
This data is used so the Bot can remember where lobby creation is allowed after restart.
6. Temporary Information
Most gameplay information is stored temporarily in memory while a lobby is active, including:
- Player IDs and display names.
- Cards, hands, turns, action history, lobby status, and final standings.
- Channel IDs and message IDs needed to update the current game.
- AFK timers and lobby cooldowns.
Temporary gameplay state may be deleted when:
- The game ends.
- The lobby is force-closed.
- The lobby channel is deleted.
- The Bot restarts.
- The Bot clears the game from memory.
7. Data Retention
Goblin's Den keeps data only as long as reasonably needed for the purposes described in this Privacy Policy.
- Server configuration is kept until it is changed, deleted, no longer needed, or removed by request.
- Temporary game state is kept only while the game or lobby is active.
- Runtime logs may be kept for a limited period for debugging, abuse prevention, and security.
- Discord messages and channels created by the Bot may remain under Discord's and the server's control unless deleted by the Bot or server staff.
8. Data Sharing
Goblin's Den does not sell personal data.
Information may be shared only in these limited cases:
- With Discord, because the Bot operates through Discord's platform and API.
- With hosting, logging, or infrastructure providers used to operate the Bot.
- With the Bot owner or authorized maintainers when needed for support, diagnostics, safety, or abuse investigation.
- When required by law, legal process, platform enforcement, or to protect the Bot, users, servers, or others.
9. Bot Owner Tools
Some commands are restricted to the configured Bot owner. These tools may show operational information such as server names, server IDs, owner IDs, member counts, cached member totals, cached channel totals, latency, uptime, and memory usage.
These tools are intended for maintenance, debugging, abuse prevention, and support.
10. Your Choices and Controls
Depending on your role, you can control Bot data in these ways:
- Users can stop interacting with the Bot at any time.
- Server administrators can remove the Bot from the server.
- Server administrators can delete channels and messages created by the Bot, subject to Discord permissions.
- Server administrators can request deletion of stored server configuration.
- Users can request deletion of personal data associated with their Discord user ID where technically feasible.
Some data may be impossible to delete from Discord itself through the Bot if it is controlled by Discord, copied into server logs, included in messages controlled by other users, or retained by server moderation systems.
11. Data Deletion Requests
To request deletion of data, contact us using the information at the end of this policy and include:
- Your Discord user ID, if requesting user-related data deletion.
- The Discord server ID, if requesting server configuration deletion.
- A short description of what you want deleted.
We may need to verify that you are the relevant user, server owner, or authorized server administrator before deleting server-level data.
12. Security
We use reasonable technical and organizational measures to protect Bot data, including limiting persistent storage to operational data and restricting owner-only diagnostic tools.
No online service can guarantee perfect security. You should not send sensitive personal information, passwords, payment details, private keys, or confidential material to the Bot.
13. Security Incidents
If we become aware of a security incident involving Bot data, we will review the issue, take reasonable steps to limit harm, and notify affected users, server owners, Discord, or relevant authorities when required by Discord policy or applicable law.
14. Children's Privacy
Goblin's Den is intended for use by people who are old enough to use Discord under Discord's Terms of Service and applicable law. We do not knowingly collect information from children below the required age. If you believe a child has provided information through the Bot, contact us so we can review and delete it where appropriate.
15. International Users
Discord servers and Bot users may be located in different countries. By using Goblin's Den, you understand that information may be processed in locations where the Bot, Discord, or service providers operate.
16. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date will be changed when updates are made. Continued use of the Bot after changes means you accept the updated Privacy Policy.
